Administrative Assistant - Construction Support

The ideal candidate is a proactive Administrative Assistant who excels at supporting professional services or construction management teams. This role requires a high-energy multitasker proficient in Microsoft Office and specialized project software like Procore or e-Builder. You must be skilled in managing complex calendars, coordinating high-volume meetings, and ensuring accurate data entry for project reports and tracking systems.

Role Summary:

The Administrative Assistant provides operational and administrative support to the construction management team, enabling project managers, construction managers, and inspectors to remain focused on technical and field activities. At 3.45 FTEs per year, this role supports multiple task orders and project teams concurrently. Strong organizational skills, discretion, and the ability to work in a fast-paced, deadline-driven public sector environment are essential.

Primary Responsibilities: 

  • Provide general administrative support to PM, CM, and inspection staff on assigned task orders
  • Prepare, format, and distribute meeting agendas, meeting minutes, correspondence, and reports as directed by project leadership
  • Manage incoming and outgoing project correspondence; maintain organized correspondence files
  • Assist with preparation and formatting of monthly CM progress reports, presentations, and deliverable packages
  • Support document control function: file management, copying, scanning, and transmittal of project documents
  • Maintain project contact directories and emergency contact lists
  • Coordinate office supplies, equipment, and facilities for project field offices if applicable
  • Support First Source and E-Verify compliance recordkeeping and filing
  • Prepare and submit travel authorizations, expense reports, and timesheets as required
  • Schedule and coordinate meetings, site visits, inspections, and field activities; maintain team calendars
  • Process and track vendor and subcontractor invoices for project manager review and approval
  • Assist with special projects, procurement tasks, and contract administration support as directed

Minimum Qualifications:

  • High school diploma or GED required; Associate's degree preferred
  • Minimum 2 years of administrative or office management experience; experience in a construction, engineering, or government contracting environment strongly preferred
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Discretion in handling confidential project, personnel, and financial information
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required
  • Experience with construction project management platforms (Procore, e-Builder) a plus
